We are seeking an Editorial Assistant to support executives across the development and production teams, and act as one of two coordinators for the department as a whole. The ideal candidate will be a self-starter who is flexible and can support a wide range of administration duties, ensuring that the department functions smoothly on a day-to-day basis. This is a demanding role that needs someone with good judgment, great communication, strong organizational skills, an unwavering attention to detail and a deep passion for audio storytelling. Responsibilities
General Administration: Oversee scheduling/calendars/travel/business expenses for creative executives. Provide technical support for remote and in-person meetings and ensure that all protocols for communication are correctly followed. Support the team with special projects, including gifts, holiday planning, company events, etc. Assist with the coordination of office activities and events. As needed, on rotation for back-up reception duties.
Production Coordination and Scheduling: Manage studio bookings, interview schedules, and calendar invites for producers and guests, while ensuring seamless communication with the guest team and organizing NDA submissions. Manage organization of creative documents, production calendars, incoming pitches, etc.
Project/File Management: Track deadlines and deliverables for the Higher Ground Audio slate, ensuring shows hit their deadlines, and following-up on outstanding items. Assist in organizing and maintaining creative documents, incoming pitches and podcast archives from existing and current shows.
Research and Document Preparation: Assist with research, prep necessary documents, and organize receipts and invoices for assigned shows, while contributing editorial insights during production and development.
Asset Management and Distribution: Upload and manage episode assets on platforms like Art19 and Google Drive, and create Airtables to streamline production calendars and guest information.
Logistical Support for Recordings: Handle shipping of recording kits, purchase production-related items, plan catering and amenities for on-site recordings.
Creative Duties
Cultivating a deep understanding of the rapidly growing audio space, with a particular focus on emerging talent and formats.
Providing thoughtful creative feedback on assigned projects.
Support creative operations of developing or actively programming shows. through research or production assistant duties.
Technical Skills
Experience with Google Business Suite, Dropbox, Airtable, Slack and Canva is preferred.
Experience in editing software (like Premiere Pro, ProTools) is preferred.
Production experience is a plus
